Position: Assistant Project Coordinator 
Location: University of Cape Coast, Ghana
Reports to: Project Coordinator
Contract Type: Full-time, Fixed-term (One year with possible renewal)
Language: English

1. Background
This position supports the international science cooperation project conducted jointly by partner institutions in Ghana and Japan. The Assistant will help the Project Coordinator with administrative, financial, and logistical tasks to ensure smooth project implementation.

2. Main Responsibilities
Administrative and Financial Support
    •    Assist in daily financial management
    •    Prepare payment requests, keep invoice/receipts, and maintain expense records
    •    Support procurement and small purchases following project procedures
    •    Manage petty cash and report balances regularly
Document and Office Management
    •    Maintain project files and records (contracts, reports, correspondence, meeting minutes, meeting records)
    •    Handle delivery and receipt of documents with partner institutions
    •    Prepare and edit letters, forms, and meeting minutes
Coordination and Logistics
    •    Arrange meetings, travel, and accommodation for project researchers and visitors
    •    Support organization of workshops and field activities
    •    Communicate with local partners and international team members


3. Qualifications
Essential:

    •    Bachelor’s degree in administration, accounting, or a related field
    •    Experience in office or project administration
    •    Good command of written and spoken English
    •    Proficiency in MS Office (Word, Excel) and email communication
    •    Strong organizational skills and attention to detail
Desirable:
    •    Experience in international or research projects
    •    Familiarity with budget tracking and reporting
    •    Ability to work independently and meet deadlines


4. Contract Conditions
    •    Starting Date: 1st December 2025
    •    Duration: 12 months (renewable based on performance)
    •    Working hours: Full-time, 5 days per week
    •    Duty station: Project office in ACECOR building, University of Cape Coast
    •    Salary range: Based on qualifications and experience
